Senior Workflow Optimization Specialist
We are looking for a Senior Workflow Optimization Specialist to join our growing Operations & Technology team. This is a fictional role created for testing purposes, but the responsibilities, requirements, and formatting intentionally resemble a real-world job advertisement.
About the role
As a Senior Workflow Optimization Specialist, you will help teams understand how work gets done, identify unnecessary friction, and design better processes. You will collaborate with product managers, engineers, customer-facing teams, and business leaders to turn messy operational challenges into simple, scalable solutions.
Your days may include analyzing workflow data, interviewing stakeholders, documenting processes, testing new tools, and presenting recommendations. Some days will be highly structured; others may involve solving a problem that nobody has encountered before.
What you will do
Map existing business processes and identify bottlenecks, duplication, and manual work.
Work closely with Product, Engineering, and Customer Operations.
Define measurable improvements and track their impact over time.
Create documentation, diagrams, reports, and internal knowledge resources.
Investigate workflow failures and coordinate solutions across multiple teams.
Evaluate software tools and recommend improvements based on business requirements.
Support automation projects from initial concept through implementation.
Communicate complex operational problems in a clear and accessible way.
What we are looking for
We are interested in people who are curious, pragmatic, and comfortable working with ambiguity. You do not need to match every requirement perfectly. If you can demonstrate that you learn quickly and enjoy improving systems, we would still like to hear from you.
3+ years of experience in operations, business analysis, project management, or a related field.
Strong written and verbal communication skills.
Experience working with cross-functional teams.
Comfort with spreadsheets, dashboards, and basic data analysis.
Ability to break complicated problems into smaller, manageable pieces.
Strong attention to detail without losing sight of the bigger picture.
A willingness to challenge existing processes when there is a better alternative.
Nice to have
Experience with workflow automation, APIs, SQL, CRM systems, applicant tracking systems, or business intelligence tools would be useful. Familiarity with project-management methodologies such as Agile, Scrum, or Kanban is also welcome.
